Hotel Furniture Fit-Out: How to Prepare a Room-by-Room BOQ
A hotel furniture quotation is easier to compare when every supplier receives the same brief. Start with a room-by-room schedule that identifies what you need, where it belongs and which decisions are still open. This guide helps hotel buyers, interior designers and fit-out teams prepare a bill of quantities (BOQ) for loose furniture and bespoke joinery.
Build a room-by-room furniture schedule
Give every furniture type an item reference and connect it to a room type or area. For repeated guestrooms, distinguish the quantity per room from the total quantity across the project. List public areas separately so lounge seating, reception furniture and bedroom items do not become mixed in one allowance.
Item reference and room or area: use the same reference on the BOQ, drawings and reference images.
Furniture description: name the bed, sofa, table, wardrobe, cabinet or joinery element and its intended use.
Quantity: show units per room, number of rooms and total units; flag provisional quantities.
Dimensions and layout: add width, depth and height, relevant drawings and the orientation of corner or fitted pieces.
Finish and upholstery: identify a fabric reference, finish reference or reference image; flag choices awaiting approval.
Scope and timing: identify the delivery location, required services and target project date.
Separate loose furniture from fitted joinery
Keep freestanding furniture and fitted elements in separate BOQ sections. A sofa or table can be specified by its own dimensions, while fitted cabinetry also depends on the room, walls, service locations and installation conditions. Identify who supplies the final site measurements and when drawings can be approved.
Ask the quotation to state its scope clearly: furniture supply, transport, unloading, room placement and installation can be separate items. Include lift sizes, doorway restrictions, stairs, delivery hours and any phased delivery requirement. The scope and availability of each service should be confirmed for the project.
See our Hotel & Interior Furniture Fit-Out offering for bespoke joinery, fitted cabinetry, upholstered furniture and loose furniture coordinated with specialist partners.
Specify bespoke sofas beyond the reference photo
A reference photograph communicates the design direction, but it does not define the full sofa specification. Add the overall dimensions, seating depth, layout and corner orientation. Describe the intended use and preferred seating feel, then identify upholstery and finish requirements for review. If a sleeping function or modular layout is required, show it explicitly in the brief.
For hotel or other commercial use, state any required fabric performance, testing or documentation. Ask for confirmation against the actual proposed configuration. A residential photograph or an upholstery name alone does not establish suitability for your project.

Compare proposals against the same specification
When reviewing offers, compare the item reference, quantity, dimensions, materials and included services together. Ask suppliers to mark substitutions and explain the differences. Keep an allowance for an undecided finish separate from a confirmed specification, so a lower initial figure is not mistaken for a like-for-like proposal.
Ask for the quotation currency and a clear breakdown of tax, transport and installation where applicable. Confirm the proposed production and delivery sequence, the approval steps and the treatment of changes before committing to your own project programme. Minimum quantities and timing depend on the selected items and must be confirmed individually.
Use the catalogue for a focused shortlist
Browse the Furniture catalogue and include links to relevant models in your BOQ. List each required size, colour or configuration rather than relying on a general collection name.
The sofa collection provides model references that can help explain your seating requirements. Bespoke requirements should be identified separately for review.
Send a brief that can become a quotation
Share your company or project name, the room schedule or BOQ, drawings, reference images, quantities, delivery location and target timing. Indicate which specifications are approved and which remain open. The Lavish Designs can review the furniture scope with relevant specialist manufacturing and installation partners.
Our Fit-Out portfolio distinguishes completed residential work by specialist partners from projects in preparation and concept visualisations. Use those examples to explain the design direction you need; the scope, specification and feasibility of your own project are reviewed individually.
Use the project enquiry form or email office@the-lavish-designs.com with your brief to request a proposal.
